Sample Request Letters

Send a request letter when you are communicating information pertaining to some type of request. You will sometimes write a letter like this on behalf of someone else, such as your child, elderly parent, or someone who has placed you in charge of his or her affairs. Sometimes, request letters are professional in tone and style, but they can also be more informal and conversational, depending on the situation and context. The style and wording you use in a letter depend on the specific circumstances.

It is generally best to keep letters as short and concise as possible while still communicating the necessary information. Feel free to customize and modify any of these letters according to your individual needs.

NOTE: In all letters, brackets indicate information that you should fill in. Remove the brackets when you have modified the text to your liking.

Dear [Ms./Mrs./Mr. Last name],

I am a resident of the Lakeview Gated Community and would like to bring to your notice a problem some of the residents have been facing.

As you may be aware, the community's immediate neighbors are a couple of recently opened restaurants.

These businesses generate a lot of garbage in the course of a workday. The garbage bins at their disposal are simply insufficient as twice as much garbage as the bins can hold can be seen strewn around the bins almost on a daily basis.

Besides being an unpleasant sight for the residents of the community and visitors to the area, the garbage also creates an air pollution problem as the community is literally upwind of the location of the garbage bins.

Incidentally, none of the patrons of the restaurants belong to the community.

We've made some inquiries with the owners of the restaurants and they say their hands are tied and they can do virtually nothing or negligibly little about the problem given our location.

That said, it must be appreciated the owners of the restaurants have promised to initiate an awareness program among their clientele and workers aimed at reducing wastage and garbage creation.

I am writing on behalf of the community to request additional garbage bins or the addition of another garbage collection shift to help with the problem.

We would also like you to know the community is open to the idea of making a donation to help offset the cost of the measures we have proposed.

I would like to take this opportunity to thank the garbage collectors and other municipal workers for doing such a splendid job with the limited resources at their disposal.

I am available on behalf of the community to answer any questions the municipality may have.

I look forward to hearing from you soon.

Thank you for your time.

Sincerely,
